Exponexa AI Automations How-To Guide

This how‑to guide provides a concise overview of Exponexa’s AI email automations — detailing each AI assistant’s purpose (e.g., prospect outreach, follow‑ups, trade‑show engagement, client check‑ins), explains the difference between short‑ and long‑term campaigns, outlines all configurable AI settings (like tone, timing, and personalized notes), and gives clear, step‑by‑step instructions for starting or stopping automations from Contacts, Smart Lists, and Conversations.

NOTE: A user must be assigned to a contact for the AI to send emails to that contact.

To add a user go to the contact's details and click the "Owner (Assigned to)" dropdown

Navigate to Contacts → Select Contact → Contact Details

Sections

  1. General, Prospect, Dormant & Current Client AI Responses
  2. Pre & Post Show AI Responses

Key Fields

Company Description

Under General Info, add company description to enhance AI personalization.

NOTE: You must click "Save" after any updates.

4. Starting AI Automations

From Contact Details

  1. Go to Contacts → Select Contact
  2. Scroll to Automations
  3. Click + Add
  4. Choose desired Workflow
  5. Select schedule (Now or future date)
  6. Click Add

From Contacts Smart List

  1. Select contacts via checkboxes
  2. Click the Automations icon
  3. Confirm selection → Ok, Proceed
  4. Choose Workflow
  5. Select delivery method: Now, Scheduled, or Drip (for >40 contacts)
  6. Click Add to Automation

From Conversations

  1. Go to Conversations → Select Contact Conversation
  2. In right pane, open Active Automations dropdown
  3. Click Add New Automation +
  4. Select Workflow
  5. Schedule timing
  6. Click Save

5. Stopping AI Automations

Automatic Stops

AI campaigns stop when contact responds, books meeting, or unsubscribes.

Manual Stops

Manual moves in the "LAP Engagement Tracker" pipeline that will stop AI emails from going out.
